Our Client, an investments company, is looking to recruit an Office Manager. Reporting to the CEO, the chosen candidate will be responsible for: 

  • Ensuring the smooth operation of the office by coordinating various tasks and supporting staff as needed.;
  • Keeping track of office supplies, ordering new supplies when necessary, and ensuring that the office has everything it needs to function efficiently;
  • Greeting visitors, answering and directing phone calls, and providing general assistance to anyone entering the office;
  • Receiving, sorting, and distributing incoming mail and packages, as well as managing outgoing mail;
  • Helping to manage the physical office space and ensuring that the IT infrastructure is functioning properly;
  • Continuously looking for ways to streamline processes and improve office management procedures;
  • scheduling meetings, maintaining calendars, conducting research, and creating reports as needed;
  • Overseeing any personal business matters related to the UBO (Ultimate Beneficial Owner) of the company;
  • Spending a portion of time each week providing administrative support to another licensed entity located in the same office space.
Requirements
  • Highly organized, detail-oriented, and capable of multitasking
  • strong communication and interpersonal skills
Education and Experience
  • 2-5 years of previous experience in an Administrative role, ideally in a corporate financial environment
  • Must be proficient with Microsoft Office
  • Must understand and communicate in both English and Italian.
